Candidate Privacy Notice

This notice explains what we do with the information you give us when you apply for a position through this career site, who else sees it, how long we keep it, and what you can ask us to do with it. Please read it before you submit an application. If you do not agree with it, please do not submit information to us.

1. Who this notice covers

This notice is issued by BTI Solutions, Inc. ("we", "us", "our"), a consulting company headquartered in Plano, Texas, working in Korean and English across technology and engineering delivery, HR and payroll, finance and operations, resource management, and Korea-to-U.S. market entry. It applies to people who apply for a position through this career site, who are contacted by our recruiters about a position, or whose application reaches us through a job board or a referral. It does not apply to our own employees, whose information is covered by our internal employee privacy policy.

We recruit for our own teams, including the delivery teams that carry out our clients' engagements, and we also recruit on behalf of client employers. Depending on the position, you may be considered for employment with us on an assignment supporting a client, or presented to a client employer that would employ you directly. Where we present you to a client employer, that employer receives your information and uses it under its own privacy policy, which we do not control.

2. Information we collect

Information you give us

  • Identity and contact details: your name, email address, phone number, and location.
  • Account details: the email address and password you use to sign in to the candidate portal. Passwords are stored in hashed form and are never visible to us.
  • Your resume and any other documents you upload, and everything contained in them, including work history, education, skills, certifications, and any other information you chose to put in them.
  • Your answers to application and screening questions, including questions about work authorization, availability, location preference, and compensation expectations where a position asks for them.
  • Information you provide later in the process, such as interview availability, references, and anything you send to our recruiters by email or through the portal.
  • Your optional choice to be contacted about other positions, and your optional agreement to receive phone calls. See section 5.
  • Voluntary self-identification information, if you choose to provide it. See section 6.

Please do not send us information we did not ask for, in particular government identification numbers, financial account details, medical records, or information about your health, religion, or political opinions. We do not need them to consider your application.

Information collected automatically

  • Standard technical information recorded by our servers and hosting providers, such as your IP address, browser type, and the pages you requested, kept in server logs for security and troubleshooting.
  • A small number of cookies that are necessary for the site to work. We do not use advertising or cross-site tracking cookies on this career site. See our Cookie Policy for the full list.

Information from other sources

  • Job boards and job platforms. If you applied through a job board such as Indeed, that platform sends us the application you submitted there, including your resume and your answers to any questions.
  • Publicly available professional information and candidate sourcing channels, where our recruiters identify potential candidates and reach out to them.
  • Referrals, where someone refers you to us for a position.
  • References you name, and, at a later stage and only with your separate written authorization, a background check provider. See section 7.

3. How we use your information

  • To process your application for the position you applied to, and to communicate with you about it.
  • To assess whether your background fits the position, including by comparing your resume against the requirements of open positions.
  • To present you and your application to the client employer hiring for the position.
  • To arrange interviews and to coordinate the steps that follow, such as offers and onboarding, if you reach those stages.
  • To keep your details in our candidate database so that we can consider you for other positions, and, if you asked us to, to contact you about them.
  • To comply with our legal obligations, including equal employment opportunity record keeping and reporting, and to establish, exercise or defend legal claims.
  • To keep the site secure, prevent fraudulent or automated submissions, and maintain our systems.

We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We do not use your application information to build advertising profiles.

4. Automated tools and human review

We use software to read the documents you upload and to extract structured details from them, such as your work history, education, and skills. We also use software that estimates how closely a resume matches the requirements of a position and presents that estimate to our recruiters as a score and a summary.

These tools support our recruiters. They do not decide the outcome of your application. A recruiter reviews applications and makes the decisions about who moves forward, and client employers make their own hiring decisions.

If you would like a person to review how your application was handled, or you believe the information extracted from your resume is wrong, write to us at recruiting@btisolutions.com and we will look at it.

5. Phone calls and recordings

On the resume step of the application, where you upload or choose your resume, you may tick a box agreeing to receive phone calls from us at the number you gave us, including calls placed with an artificial voice, about your application and about related positions. Calls may be recorded. Ticking the box is not required in order to apply, and it does not affect how your application is considered.

If you agree, you can withdraw at any time by saying "stop calling" during a call or by texting STOP to the number that called you, and you can also write to us at recruiting@btisolutions.com. Withdrawing does not stop the ordinary emails about an application that is already in progress. Where a call is recorded, we keep the recording only for as long as we need it for the position you are being considered for, and we handle it under this notice like the rest of your information.

6. Voluntary self-identification

After your application is submitted, we may invite you to provide information about your race or ethnicity, gender, veteran status, and disability status. Providing it is entirely voluntary, and you may skip the form or decline any individual question.

We collect it only to meet equal employment opportunity and affirmative action record keeping and reporting obligations. Whatever you choose, it is not considered in the hiring process or afterwards, it is not shown to the recruiters and interviewers who assess your application, and it is kept separately from the rest of your application. We keep this information for 3 years and then delete it.

7. Background checks

If you reach the stage of the process where a background check is required for a position, we will tell you first and you will receive a separate invitation from our background check provider, Checkr, Inc. Checkr collects your consent and the information it needs directly from you on its own pages, under its own privacy policy and under the federal Fair Credit Reporting Act and applicable state law. We receive the status and the result of the check, not the raw information you give Checkr.

That disclosure and authorization are a separate, standalone document, as the law requires. Agreeing to this notice or to our Terms of Use is not authorization for a background check and does not substitute for it. We do not run one without your prior written authorization, given at that time, and you may decline. Declining may mean we cannot proceed with a position that requires one.

8. When we share your information

  • Client employers. When we present you for a position, we share your application, your resume, and relevant notes with the employer hiring for it. From that point the employer is independently responsible for the information it receives and handles it under its own privacy policy.
  • Service providers. We use vendors to run this service, including hosting and data storage, email delivery, document parsing and matching, calendar scheduling, electronic signature, and background checks. They may process your information only to provide those services to us.
  • Job platforms. Where you applied through a job platform, we exchange the application and its status with that platform as needed to complete and track your application.
  • Legal and safety. We may disclose information where we are required to by law, subpoena, or a government request, or where it is necessary to protect our rights, our people, or the security of our systems.
  • Corporate transactions. If our business or a part of it is sold or reorganized, candidate information may transfer as part of that transaction, subject to this notice.

We do not disclose your information to anyone else for their own marketing purposes.

9. Where your information is processed

We operate in the United States and our systems and service providers are located in the United States. Some of our client employers and affiliated companies are located outside the United States, including in the Republic of Korea. If you are presented to one of them, your application will be transferred to the country where that employer operates. Data protection law in that country may differ from the law where you live. By submitting your application you understand that your information will be handled in the United States and may be transferred to a client employer abroad for the purpose of considering you for a position.

10. How long we keep your information

  • Applications and resumes are kept in our candidate database for as long as we need them to consider you for open and future positions, and for the record-keeping periods the law requires, unless you ask us to delete them sooner.
  • Voluntary self-identification information is kept for 3 years, as described in section 6.
  • Records we are required to keep for equal employment opportunity, tax, or other legal purposes are kept for the period the applicable law requires.
  • Server logs are kept for a short period for security and troubleshooting.

If you are hired, your information becomes part of your employment record and is kept under our employee record retention practices instead.

11. How we protect your information

We use access controls, encryption of traffic to and from this site, hashed passwords, and internal separation so that each company's recruiters see only their own candidates. No system can be guaranteed to be completely secure, and we cannot promise that unauthorized access will never occur. Please choose a strong password for the candidate portal and do not reuse one from another service.

12. Your choices and your rights

  • Access and correction. You can sign in to the candidate portal to see the applications tied to your email address, and you can ask us for a copy of the information we hold about you or ask us to correct it.
  • Deletion. You can ask us to delete your application and remove you from our candidate database. We will do so unless we are required to keep a record for a legal purpose.
  • Marketing and other opportunities. You can ask us to stop contacting you about other positions at any time, by using the unsubscribe link in our emails or by writing to us. This does not stop messages about an application that is already in progress.
  • Withdrawing an application. You can withdraw an application at any time by telling the recruiter handling it or by writing to us.
  • Withdrawing consent. Where we rely on your consent, you can withdraw it at any time. Withdrawing it does not affect what we did before you withdrew it, and it may mean we can no longer consider you for a position.

To make any of these requests, write to recruiting@btisolutions.com. We may need to verify your identity before we act on a request, and we will not treat you differently for making one.

13. Notice for residents of certain states

Some states, including California, Colorado, Connecticut, Texas, and Virginia, give residents specific rights over their personal information, and these rights extend to job applicants in some of them. The categories of personal information we collect, the purposes we use them for, the categories of third parties we disclose them to, and how long we keep them are described in sections 2, 3, 8, and 10 of this notice. We do not sell personal information and we do not share it for cross-context behavioral advertising.

Depending on where you live, you may have the right to know what we hold about you, to receive a copy of it, to correct it, to delete it, to limit our use of sensitive information, and to appeal a decision we make about your request. To exercise any of them, or to appeal, write to recruiting@btisolutions.com. You may use an authorized agent where the law allows it.

14. Age

This career site is intended for people who are of legal working age. It is not directed at children, and we do not knowingly collect information from anyone under 16. If you believe a child has given us information, write to us and we will delete it.

15. Changes to this notice

We may update this notice. The date at the top shows when it was last changed. If we make a significant change, we will make that clear on this page. Please review it when you apply again.
